Personal Support Coordinator
Upon booking, you will be assigned a dedicated Personal Support Coordinator. They are your go-to person, bridging the gap between program enrolment and your arrival on base. Your coordinator will provide invaluable support, ensuring you have all the necessary information for visas, background checks, health information including insurance, and any required documentation.
Tailored Guidance
Your coordinator will guide you through a personalized packing list, tailored to your chosen location and program. They will also facilitate cultural orientation, safety and security precautions, and program-specific information, ensuring you feel confident and ready for your unique experience.
Stay Connected with WhatsApp
In most of the locations, we set up WhatsApp groups to efficiently manage participant arrivals. This means you'll be connected with local Gyan staff right from the beginning of your journey until you're warmly greeted at the airport by one of our team members. Additionally, you will receive a Nepalese SIM card to facilitate internet and SMS access, especially in remote locations (subject to network coverage)

Dedicated and Trained Staff
- All our staff, from project leaders to drivers, are recruited, vetted, and trained by us. Many of them are passionate people who have impressed us with their dedication and skills over the years.
- Staff members live in close proximity to participants, ensuring a constant presence for support and supervision.
Safe Transportation
- We manage transportation to and from the airport, between project sites, and to additional trips. Staff members accompany participants during any travel.
- We ensure the vehicles are properly maintained, insured, and driven by professional and well experienced drivers.
- The minimum staff-to-participant ratio is carefully maintained, guaranteeing adequate staff members to manage any situation safely.
Secure Personal Belongings
- Although we strive to provide you secure location for your valuables, including electronic devices, ultimately you are expected to ensure you are adopting appropriate measures to ensure their safety.
Background Checks and Training
- All staff, including office personnel, undergo thorough background checks or provide character references when necessary.
- Health and safety training covers respectful travel, cultural awareness, regional safety issues, personal protective equipment, and emergency services information.
Emergency Response
- Every on-the-ground staff member is emergency first response (EFR) certified, with a fully stocked medical kit available on each leg of the journey.
- An assigned licensed driver is available 24/7 for medical facility transportation, ensuring a swift response in case of emergencies.
- We have close connections with international hospitals in Nepal along with air-lifting facilities in case of emergencies (PLEASE NOTE: THIS SHOULD BE INCLUDED IN YOUR INTERNATIONAL HEALTH INSURANCE)
Safety Training Protocol
- Before joining a project, each staff member undergoes off-site safety training, adhering to internationally accepted safety practices.
- Training includes risk assessments, emergency action plans, crisis management plans, and periodic health and safety protocol reviews with senior management.

Access to Local Medical Professionals
- Participants have direct access to vetted local healthcare professionals, including doctors and nurses, ensuring prompt and reliable care.
- The professionals are carefully selected and vetted by Gyan to meet our high standards of quality and safety.
Disclosure of Medical Information
- Participants are requested to disclose all pre-existing medical conditions and dietary requirements including food allergies. This crucial information helps us support the advice of licensed medical professionals and ensures your safety in different environments.
- Additionally, participants are advised to disclose any medical conditions that may hinder their ability to navigate high altitudes or vertical landscapes so that our team can work with you to mitigate the risk.
International Health Insurance
INTERNATIONAL HEALTH INSURANCE POLICY IS NOT INCLUDED IN THE PROGRAM FEE. PROOF OF INTERNATIONAL HEALTH INSURANCE IS A REQUIREMENT FOR ALL PARTICIPANTS/GUESTS.
PARTICIPANTS/GUESTS ARE EXPECTED TO ENSURE THAT THEY HAVE INTERNATIONAL HEALTH INSURANCE COVERING MEDICAL EMERGENCIES AND EVACUATIONS.
